Who we are

Robinson Martin Green (RMG Weddings & Events) is a wedding photography and film team based in West Sussex. We decide how and why your personal information is used, which makes us the data controller under UK data protection law (the UK GDPR and the Data Protection Act 2018).

The information we collect

When you enquire or ask for a call

Your name, email address, phone number, wedding date, venue or town, approximate guest numbers, whether you are interested in photography, film or both, how you heard about us and anything you tell us in your message. If you ask for a call, we also keep the time you would like us to call.

When you book with us

The names of both of you, your contact details and address, the details of your package, your signed agreement, the invoices we send you and a record of the payments you make. Payments are made by bank transfer, so we never see or store card details.

When you use your Wedding Hub

Your login email, and whatever you choose to share with us to plan your day: your timeline, the people you would like photographed, supplier details, the venue and access notes, the photos and inspiration you add, your answers to our planning questions and the messages you send us.

On your wedding day

Photographs and film of you, your family and your guests. If you use our guest video message feature, the guests who record a message share their video and the name they give with us.

When you visit our website

If you agree to analytics cookies, Google Analytics tells us how people use the site: the pages visited, roughly where visitors are in the world, the type of device and how they found us. This does not tell us who you are. You can read more in our Cookie Policy.

How we use it, and why we are allowed to

The law asks us to explain the reason, or lawful basis, for each use.

We will only send you marketing, such as news or offers, if you have told us you are happy to receive it, and you can stop it at any time. We never sell your information.

Your photos and film

We only share images or clips from your wedding on our website or social media where your booking agreement allows it or you have told us you are happy for us to. If you would rather we did not, or you change your mind later, tell us and we will stop using them in anything new and remove them from our website and social media.

Who helps us look after your information

We use a small number of trusted providers to run our business. They only use your information to provide their service to us and are bound to keep it secure.

• Supabase stores our client records and your Wedding Hub. The database is hosted in the European Union.
• Resend sends the emails that come from our system, such as replies, reminders and invoices.
• Google Analytics measures how our website is used, only if you agree to analytics cookies.
• Google Fonts supplies the typefaces on our website, which means Google receives your device's IP address when a page loads.
• YouTube hosts our full films. When you play one on our website it opens in YouTube's privacy-enhanced mode. The short looping clips on our pages are served from our own website.
• Our website host serves the pages of this website to your browser.
• nu media group builds and looks after our website and booking system, and can see client records only where that is needed to keep everything working.

Some of these providers are based in, or use services in, the United States. Where your information leaves the UK, it is protected by the UK's approved safeguards, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum.

We may also share information if the law requires it, for example with HMRC or the police.

How long we keep it

• Enquiries that do not go on to book: up to 12 months from your last contact with us, then deleted.
• Booking, contract and payment records: six years after the end of the financial year your wedding falls in, as required for tax.
• Your Wedding Hub: open until your photos and film are delivered, then closed within 12 months of delivery.
• Your photographs and film: we keep a backup copy so we can help if you ever lose yours. Ask us at any time if you would like it deleted.
• Website analytics: Google Analytics keeps this for up to 14 months.

Your rights

You have the right to:

• ask for a copy of the information we hold about you
• ask us to correct anything that is wrong or incomplete
• ask us to delete your information
• ask us to limit how we use your information, or object to how we use it
• ask for your information in a format you can pass to someone else
• withdraw your consent at any time, where we rely on it

To use any of these rights, email hello@robinsonmartingreen.co.uk. We will reply within one month. There is no charge. Some rights have limits, for example we must keep financial records for as long as the law requires.

Keeping it safe

Access to client records is limited to our team and the people who maintain our systems, each with their own login. The Wedding Hub only shows each couple their own wedding, and our providers encrypt information as it travels between your browser and their systems.

Children

Our website and Wedding Hub are for couples planning their wedding and are not aimed at children. Children may appear in photographs and film of a wedding as guests, and we treat those images with the same care as everything else from your day.

Making a complaint

If you are unhappy with how we have used your information, please talk to us first and we will put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

We will update this page if the way we use your information changes. The date at the top shows when it was last updated.
